Terms & Condtions

Please read these conditions carefully as they set out the basis upon which Tsumugi Travel accepts all bookings from travel customers. These Terms and Conditions constitute a contract between you and Tsumugi Travel. Tsumugi Travel is both a tour operator and a tour conductor. As a tour operator, it creates itineraries, plans places to visit, and books travel products such as accommodation ,restaurants and train passes. As a tour conductor Hironori Haseno or his representative arranges, guides and escorts the tours for his travel customers in Japan. These are group and/or private tours. Using our website and our service means you accept these Terms and Conditions. We reserve the right to amend our Terms and Conditions.

• InterpretationWhere we use the words “Tsumugi Travel”, “us”, “we” and/ or “our”, we are referring to Tsumugi Travel. These Terms and Conditions apply to all bookings whether made online, through our website, or by any other means of electronic communication. Where we use the words “traveller”, “you” and/ or “your”, we are referring to you as the travel customer.
• Prices, Deposits, and PaymentDates, itineraries, and prices are valid from 01 Jan 2024 until 31 Dec 2024. For group tour bookings made more than 60 days from the tour departure date, a non-refundable deposit of US$500 per person per tour is due 7 days after confirmation. Full payment is due and payable 45 days prior to the scheduled date of departure and will be notified to you in your confirmation of booking. Full payment is payable to us immediately when booking directly through our website, or within 7 days when booking via email, Facebook, or over the phone. Prices are not guaranteed until payment has been made in full and documents have been processed and issued to you. Failure to pay a deposit within 7days from the date of confirmation or in full by the due date may result in the automatic cancellation of your booking without refund of monies paid. All bookings are subject to availability at time of booking.
• InclusionsWhere you have booked a tour with us, the price of your tour includes as described in the itinerary all: accommodation, transport, sightseeing, services of the tour escort, and airport transfers in Japan on the first and last day of the tour (to the nearest airport).
• ExclusionsWhere you have booked a tour with us, unless specified in the itinerary, the price of your tour does not include: international flights, internal flights, taxes, excess baggage, meals, visa fees, passport costs, travel insurance, optional activities and all personal expenses.
• Cancellation by the TravelerAll cancellations must be received in writing. No refunds will be made for unused services, regardless of the reason. Cancellations are subject to the following cancellation fees applied per person, per confirmed booking:
  (a) For cancellations made more than 60 days before the scheduled tour departure date, the deposit will be returned to you.
  (b) For cancellations made between 31-59 days before the scheduled tour departure date, a cancellation fee of 50% of the tour costs will be payable.
  (c) For cancellations made within 30 days of the scheduled tour departure date, 100% of the tour costs will be payable.
  Refunds will not be given for unused or cancelled services after your arrangements have commenced.
• Amendments of the travelerAmendment fees are not charged to the traveler unless we are charged by third party suppliers. Additional amendment charges may be charged by any suppliers such as airlines, hotels or other tour operators. Some suppliers deem a name change to constitute a cancellation, rather than an amendment and cancellation fees can apply in this instance.
• Cancellation and amendments by Tsumugi TravelWe may, even after the conclusion of the tour contract, cancel the provision of travel services by natural disasters, war, riots, transportation or accommodation agencies, order by government authorities or other reasons beyond the Company's control. We reserves the right to change the contents of the tour contract in the event that the Company is forced to do so in order to ensure the safe and smooth performance of the tour. We are not responsible for any other travel arrangement affected due to our cancellations or amendments. Where amendments beyond our control require us to add or amend a service resulting in an increased operating cost, a surcharge may be payable by you for the additional or amended service.
• Agency and third party providersYou acknowledge that: (a) we are a tour operator and tour conductor, and are not an accommodation, transport or event provider; (b) we are not responsible for, and make no warranty or representation about, third party suppliers, their products and services or information provided on this website about their products and services; and (c) we do not endorse any third party products or services contained on this website. Be advised that we have no control over, or liability for, the services provided by third parties and that most suppliers impose their own terms and conditions for the products and services they offer. We can provide you with copies of the relevant service provider's terms and conditions on request. You may, after reading these terms decide that they are not acceptable to you and that you do not want to book that service provider. If that is the case, you should instruct us immediately to not book that service provider.
• Limited liability, Consumer Claims and ExclusionsTo the fullest extent permitted by law, you release us from any and all liability for loss, theft or damage to baggage or property, or for injury, illness or death, whether caused by our negligence or otherwise. If we are working with various third party companies, agencies or individuals to organize the tour and we are acting on behalf of those third parties, we are not responsible for the acts or omissions of those third parties.
• PricesAll prices are in US dollars and are valid at the time of publication but are subject to change. Rates are twin-share rates for land only (single supplement rates are also shown for some tours). While we will use reasonable efforts to ensure that prices do not change, we may need to impose additional charges due to currency fluctuations, changes in government laws and regulations, airline fees, fuel surcharges, or other variable factors beyond our control. You acknowledge and agree that you are responsible for prompt payment of all surcharges and price increases. Please contact us prior to booking for the most current rates.
• PaymentPayment can be made by direct deposit or directly through our website (credit card). However, there is a 3.0% handling fee for credit card payments. This fee is not included in the prices displayed on our website.
• Health and FitnessYour physical health and mental well-being are important to us. Please carefully consider whether our tour selections are appropriate for your health and fitness. Our tours do not have age restrictions and are suitable for travelers of average health and fitness; however, some travelers may be physically challenged due to local transportation. This is because many Japanese train stations do not have elevators and require the use of stairs. If you book one of our tours, you acknowledge and agree that you are able to walk without assistance and manage the movement of your own luggage. You must also disclose details of any pre-existing medical conditions prior to the trip. We reserve the right to request that you seek medical attention to ensure that you are physically able to perform the routine tasks required on your chosen tour. If you are concerned about your physical and mental condition, please be sure to seek medical advice. If, as a result, you are not permitted to enter Japan (or any other country) or suffer personal injury or death, we will not be liable to you for any costs, losses or damages incurred by you, nor will we reimburse you for any unused portion of your travel arrangements.
• ChildrenThe child rate indicated on this website refers to children 12 years old and younger.Our tours are open to travelers years of age and over, however no traveler under 18 years of age can join our tours without being accompanied by a parent or guardian.
• Tour Leader AuthorityWhen participating in any of our tours, travelers need to follow the authority and reasonable instructions of the tour leader representing the Company. The tour leader's judgment is final at all times in matters concerning the safety and well-being of the individual and the group. If the tour leader determines at any time that you are not fit to travel, the tour leader may, in his/her sole reasonable discretion, prevent your further participation in the trip. In such an event, no refund of the unused portion of the trip will be made.
• Travel InsuranceWe strongly recommend that you purchase travel insurance prior to departure. The policy should cover personal injury, medical expenses, evacuation and repatriation, loss of baggage, and cancellation or shortening of vacation.
• Air ArrangementsTour prices are land only. They do not include airfares from or to your departing destination. Therefore, it is your responsibility to book suitable flights to allow sufficient time for meeting the scheduled tour departures dates and times in Japan. It is also your responsibility to advise us of your flight details in order for us to arrange your Japan-based airport transfers to/from your hotel. Be advised that all flights bookings are subject to the carrier's conditions of carriage. It is your responsibility to carefully read and understand the terms and conditions that relate to your airfare and contact the relevant airline if you require further information. We accept no responsibility or liability for any costs incurred due to any problems experienced with your flights. It is your responsibility to contact the airline prior to departure to ensure there is no change to the scheduled departure time.
• Hotel Bedding Configuration in JapanHotel rooms in Japan are usually smaller than you are used to and often in a different configuration. For rooms for two, twin beds are most common, not double beds. The type of bedding can be requested at the time of booking, but cannot be guaranteed. Triple share rooms are available upon request, but may not be available. There is no discount for triple sharing.
• Passport and visa requirementsVisas, including transit visas, are the passenger's own responsibility. Many nationalities traveling with a valid passport do not need a Japanese visa if their purpose of travel to Japan is for holiday activities and the proposed period of stay is no more than 90 days. However, please check with the Japanese Embassy for up-date information, and any particular requirements for your nationality or personal circumstances, and also that of each country you may be traveling through. You need to ensure that you have at least 6 months validity on your passport from the date of your departure.
• PublicityWe may use your images taken during the tour for advertising and promotional purposes. Please let us know if you do not wish us to do so.
• Website linksYou acknowledge that the inclusion of links on our website is not intended as an endorsement or recommendation of any linked site or its content of such sites. We do not guarantee that our website or any linked site will be free from viruses, or that the website or any linked website will be uninterrupted.
• Errors & omissionsWe reserve the right to correct any errors in rates or content quoted or calculated for any tour, with immediate effect. We will use our reasonable endeavors to notify you of such corrections.
• Governing lawThe Terms and Conditions and your use of this website, and all matters arising out of or in connection with them, are governed by the laws applicable in Tokyo, Japan.
